Default User Permissions Question

Alright -

Question for ya!

Here's the quick scenario - We have created a "memo" field in one of our custom properties for the salesmen to enter in basic instructions - Say a wall plate is being placed in text bid and is being installed in the Foyer, although it would be controlling exterior lights.

This field would allow the salesmen to quickly add something like "to control front entry light" on a quick aside - we have used Report Designer to show this field for the installer check list so the field is actually useful and the note does not dissapear never to be seen by the person meant to see it.

So here is the question after my 2 paragraphs of prep with regards to user permissions, right now the salesman do not have the "add/edit data" permission, as our thought was to preapprove discounts on products, well in doing so we are realizing this may also have inhibited their ability to use our cool new "memo" field we created, so whenever they try to change a price or enter something into their product memo field they get the message of something to the effect of "user does not have ability to change/update data" or something similar.

The various cost restriction permissions do not seem to have any effect on the salesmens text licenses, so the magical question that we need an answer to is, how can we retain our ability to get pre approval on discounts and still give them the ability to utilize our memo field for special instructions?

Or is there a more functional way to associate memo fields and attach them to particular products?

After investigation, we found that there is indeed a bug with the "Restrict Cost" and "Restrict Price" permissions. This bug basically allows anyone to change the Price and Cost in a project, regardless of permission, so at the moment there really is no way to prevent your salespeople from changing price. They are, however, prevented from updating price in the Master Table. We will definitely fix this in a future version.

For the "Add/Edit Data" permission, the behavior is much the same. Any user can edit the data in a project, but only users with the Add/Edit Data permission can update the Master Table. The error you see, "user does not have ability to change/update data" comes up because when you hit Save, the program will try to save to the Master Table. It does NOT affect the ability of the user to make changes within a project.

So, I recommend this course of action: 1) set Restrict Price and Restrict Cost, and remove Add/Edit items for your salespeople. This will allow them to edit the data in a project without affecting the Master Table. 2) run management reports on projects to make sure your salespeople aren't over-discounting. While this isn't the optimal solution, it's really the only option until we get this particular bug fixed.
